Installing a business phone system: the steps, from the old system to the cloud

A cloud phone system is not installed at the office. We set it up remotely, and your colleagues answer in the browser, the mobile app or on IP phones. You can keep the old system, connected to the new one, or retire it. Standard setup is included and there is no activation fee.

What "installation" means for a classic system and a cloud one

With a classic phone system, installation means equipment at the office, cables to every desk and a technician to get it running. With a cloud phone system, the equipment sits with the provider. What stays with you is what you use every day: the phones or the apps. We explain the differences in cost and features in Virtual PBX vs. traditional PBX.

What to do with the old phone system

You have two options, and you don't have to choose on day one.

  • Keep it. If your system supports SIP, it stays in service: connect it to CapitalPBX through the External IP-PBX connector, for 20 EUR a month on top of your plan. Details are on the SIP trunk page, and the technical steps are in Connecting external SIP PBXs.
  • Replace it. Your colleagues answer in the browser, the mobile app, the Capital Talker softphone or on IP phones.

In short: you keep your company's numbers and the phone system you already have.

The steps, from the first conversation to the first call

  1. A 15-minute call. Tell us how many colleagues answer the phone, which numbers you have and what should happen to a call nobody answers.
  2. We set it up with you. We prepare the extensions, the voice menu, the routing rules, your business hours and, if you want, the integration with your CRM. We explain what a good voice menu looks like in our IVR guide.
  3. Your numbers. We file and follow up on the porting request for your company's fixed numbers. You can also connect numbers from other operators.
  4. Live in a few days. Your colleagues take calls in the browser, the mobile app or on IP phones.

Before you set the switch date

  • Check the notice period in your contract with your current operator.
  • List your company's numbers and who answers each one.
  • Decide what happens to a call nobody answers: a queue, another colleague or voicemail.
  • Choose how your colleagues will answer: an IP phone, the browser or the mobile app.

What you need at the office

A stable internet connection and the devices your colleagues will answer on: IP phones, computers with a browser or mobile phones with the app. You don't need phone system equipment or a server room. What installation costs

Standard setup is included and there is no activation fee; for large projects, we give you a separate quote. You only pay the monthly subscription: from 60 EUR a month with VAT for 3 users, plus 10 EUR for each extra user.
