What VoIP telephony is and how it works

VoIP stands for Voice over Internet Protocol: your voice is turned into data packets and travels over the internet. The physical phone line drops out of the equation; what you need is a stable connection and a device to talk on. CapitalPBX adds the business logic through a cloud phone system: IVR, routing by skill and waiting queues.

“IP telephony” and “VoIP telephony” are, in practice, two names for the same thing: voice travels over the internet, not over the analogue line. The third term you will meet in offers, “cloud telephony”, says something else: not how the call travels, but where the phone system lives. You can have IP telephony with your own PBX in a rack on site, or with the system hosted by the provider and managed from the browser. At CapitalPBX the system is hosted by us: you buy no hardware, and routing rules are changed from the panel. If you already have a PBX on site, you can connect it through the external IP-PBX connector, 20 EUR per month on top of the chosen plan.

Who VoIP telephony makes sense for

If the phone brings in customers or solves problems in your company, VoIP telephony makes sense. Support and BPO, marketing agencies, ecommerce, tourism and bookings, car dealers and hospitality use it especially heavily, each with its own call flow.

Numbers

Virtual numbers for your company in Romania

A virtual number is an ordinary phone number that is not tied to a socket in the wall. It rings wherever your team is: in the browser, in the mobile app, on a softphone or on a SIP compatible IP phone. The same number can ring several people at once, try the sales queue first and the office second, or hand the caller to the IVR voice menu outside working hours. You set those rules in the panel and change them yourself, without a technician visiting.

One number, the whole team

One number serves a whole team. You do not buy a number per person; the subscription is priced by users, from 60 EUR/month, or 48 EUR/month billed annually, and each additional user beyond your package is 10 EUR/month. The routing rules, not the number, decide who answers.

Separate numbers for different teams or departments

You can receive calls on several numbers and treat each one differently: every number has its own menu, its own schedule and its own team, even if everyone works from the same place. We check the availability of a particular local prefix together, before the contract. If you also want to know which source each call comes from, that is what our Call tracking product does.

Your current number stays yours

If your company already has numbers, you keep them and we take on and manage the porting request; the deadlines are fixed by national regulation rather than by us, and the full detail is in “Can I port my current number to CapitalPBX?” further down this page. If you need new numbers instead, we set them up during onboarding: tell us in the 15-minute call how many and for which locations, and we confirm what is available before you sign.

What we do not offer

Virtual numbers come as part of a CapitalPBX subscription for companies registered in Romania, with a contract and an invoice issued to the company. We do not sell standalone numbers for personal use, and we are not a service for calling friends or family.

What is a VoIP phone system?
A VoIP phone system is the company's phone system running over the internet rather than over analogue lines. It receives calls on the business number, passes them through the voice menu and distributes them to the team, in the browser, in the mobile app or on IP phones.
What is the difference between IP telephony and VoIP telephony?
In practice, none; they are two names for the same technology. IP is the network the call travels over, and VoIP (Voice over Internet Protocol) is the name of the method that carries voice over it; the signalling protocol actually used is SIP. You will find both terms in providers' offers, sometimes on the same page. When you compare offers, look at the numbers, not the term: how many users the package includes (with us, 3 users in the Lite plan), what a minute to national networks costs (0.01 EUR/minute + VAT) and whether you can port your current number; you can, and under normal conditions porting completes in 3 working days.
Are VoIP calls free for a business?
Not all of them, and it is worth saying exactly which. Calls between users of the same CapitalPBX system (extensions, colleagues, offices in different cities) are free, because they travel only over the internet. Calls to fixed or mobile numbers in Romania are charged at 0.01 EUR per minute plus VAT. International calls depend on the destination, not the distance; if you call a particular country often, ask for that destination's rate before choosing a plan.
How much does VoIP telephony cost for a small company?
The entry plan is 60 EUR/month, or 48 EUR/month billed annually, and covers 3 users: one administrator and two extensions. For a sole trader (PFA) or an SRL with two or three people, that is usually enough. Beyond that, each additional user costs 10 EUR/month, and options such as CRM integration or the call centre module 20 EUR/month each. Calls are added on top of the subscription, at 0.01 EUR/minute plus VAT to national networks. The contract and the invoice are issued to a company or sole trader (PFA).
What does PBX mean in VoIP?
PBX (Private Branch Exchange) is the system that manages a company's calls: extensions, routing, voice menu. In a VoIP PBX, calls travel over the internet instead of classic lines, and the system can run in the cloud with no hardware on site.
Do you offer SIP trunking?
Yes, but not as a separately sold product: it means connecting your existing phone system to CapitalPBX Cloud PBX, through the option called the external IP-PBX connector, at 20 EUR per month on top of your plan. We do not sell wholesale SIP channels for a system that stays entirely independent of ours. How the connection works, and what happens to your extensions, is on the SIP trunking page.
Which audio codecs does the system support, and which ports need to be open?
The system works with standard SIP compatible IP phones and with external SIP systems. The audio codecs, the ports that need to be open on your firewall and the rest of the network requirements are in the configuration guide in our help centre, help.capitalpbx.ro. It is the list you follow yourself, or hand to your IT team, before setup.
What kind of internet do I need for VoIP?
Less than people think. A call uses very little bandwidth, far below what a video call consumes, so an ordinary business connection carries a whole team's calls without trouble. Stability matters, not speed: a fast link with packet loss sounds worse than a modest, steady one. We recommend cable for fixed desks, good Wi-Fi or 4G for colleagues on the move, and prioritising voice traffic in the router if many agents talk at once.
What happens if the office internet goes down?
Calls do not disappear, because the system lives in the cloud, not on your premises. From the panel you can set calls to redirect to the team's mobile app or to a backup number, and callers hear a message instead of a busy tone. In practice, an office internet outage becomes a comfort problem, not lost customers.
Do I have to buy new phones?
Not necessarily. You can start with just the app, on the phones and laptops the team already has. If you want physical devices, any SIP-compatible IP phone works. And if you already have a PBX you invested in, you can keep it and connect it to CapitalPBX through the external IP-PBX connector, at 20 EUR/month on top of the chosen plan; it does not have to be thrown away.
Can I port my current number to CapitalPBX?
Number porting is regulated nationally, so the deadlines do not depend on the provider. Under normal conditions the process completes within 3 working days of the request, the operator you are leaving has one working day to respond, and activation takes at most one working day. During the switch, service is interrupted for at most 3 to 4 hours. We take on and manage the request, with one fair caveat: porting remains conditional on availability and on regulatory requirements. You are not obliged to port: if your current operator gives you SIP access, you can keep the number with them and connect it to CapitalPBX through SIP registration, with no forwarding fees.
Can I call internationally over VoIP, for example to Germany?
Yes, international calls work normally over VoIP: the call leaves over the internet and enters the telephone network of the destination country, whether that is Germany or anywhere else. The cost depends on the destination and on your provider's rates, not on physical distance. The cost can also be capped: in CapitalPBX you set calling rules by direction, for the whole company or for specific employees and departments, and the default rule permits only internal calls and calls to the region of the outgoing number.
