When you move to a cloud phone system, you don't have to throw out the equipment you have. SIP-compatible IP phones are configured on the new system, analogue phones and fax machines connect through a VoIP gateway, and the PBX you already have can stay in service. Below, one by one, is what happens to each.

The IP phones you already have

SIP-compatible desk phones are configured on CapitalPBX. Our setup guide names, among others, Yealink, Grandstream, Cisco/Linksys, Fanvil, Panasonic, Eltex, AudioCodes, D-Link, Escene and Aastra models. For each phone you get the SIP server, username and password, and the steps are in the desk phones guide.

If you don't have IP phones, colleagues can answer in the browser, the mobile app or the Capital Talker softphone.

Analogue phones and fax: through a VoIP gateway

Older analogue phones don't connect straight to the internet. You connect them through a VoIP gateway, an adapter that turns them into SIP lines; its ports are configured like an IP phone.

  • Transfers: on an analogue phone, a call is transferred with the gateway's own transfer function (details).
  • Fax: the fax machine also connects through a VoIP gateway, and you can receive faxes even without a fax machine. The steps are in the fax article.

The PBX you already have

  • If it supports SIP, it stays in service: connect it to CapitalPBX through the External IP-PBX connector, for 20 EUR a month on top of your plan. The technical steps are in Connecting external SIP PBXs, and the offer is on the SIP trunk page.
  • If it's analogue, an existing analogue system can be connected, for example through a gateway; we tell you what you need once you tell us your model.

Not sure what kind of system you have? See our guide to the types of business phone systems. If you're thinking of replacing it, see the signs and what to ask for in a quote.

Numbers from other operators

You can bring your company's fixed numbers to CapitalPBX in two ways:

  1. Port them: we file the porting request.
  2. Connect them and leave them with your current operator: over SIP or, if the operator offers neither SIP nor forwarding, through a VoIP gateway. You can connect up to 30 external numbers at no extra cost. The options are explained in the article on numbers from other operators.

Who sets it up, and what it costs

Standard setup is included: we prepare the extensions, the voice menu and your business hours, and help you connect your phones and numbers. Plans start at 60 EUR a month with VAT, or 48 EUR a month billed annually, for 3 users; the External IP-PBX connector costs 20 EUR a month extra. The steps, from the first conversation to the first call, are in our guide to installing a business phone system, and you can work out the cost on the pricing page.

Frequently asked questions

Can I use the IP phones I already have?

Yes, if they are SIP-compatible. We configure them on the new system with each phone's SIP server, username and password.

What do I do with analogue phones?

Connect them through a VoIP gateway, which turns them into SIP lines. A fax machine connects the same way.

Can I keep my existing PBX?

If it supports SIP, yes, through the External IP-PBX connector, for 20 EUR a month extra. An analogue system can be connected, for example through a gateway; we tell you what you need once you tell us your model.

Can I keep the fixed numbers from my current operator?

Yes. You can port them to us, and we file the request, or connect them over SIP or through a VoIP gateway without moving them.
